Two kinds of business stamp

Most office stamps fall into one of two jobs, and the design follows the job.

Identity stamps carry who you are — company name on the top arc, a phone number or founding year on the bottom, a logo or initials in the centre. These go on letterheads, quotations, delivery notes and anything leaving the building. They tend to be round with two rings.

Action stamps carry what happened — APPROVED, PAID, RECEIVED, PROCESSED, VERIFIED. These go on documents already inside a workflow, and the word matters more than the decoration. Bigger letters, fewer rings, more white space.

Wording that actually gets used

If you are building an action stamp, keep the phrase to one or two words and put any qualifier on a second line. The common ones, in roughly the order businesses use them:

  • APPROVED — with or without "BY MANAGEMENT" underneath

  • RECEIVED — usually paired with a date line

  • PAID — sometimes with an amount or reference field

  • PROCESSED — for payments and orders that have cleared

  • VERIFIED or CHECKED — for documents reviewed against a source

  • COPY or DUPLICATE — to mark a document as not the original

  • CONFIDENTIAL or DRAFT — status marks rather than approvals

Leave a blank line under the main word if a person needs to write a date or sign beside it. A stamp that forces someone to write over the border gets abandoned within a week.

Getting the text to fit

The most common mistake on a round stamp is trying to fit a long legal name onto a single arc. At 40 mm, an outer arc comfortably holds about 30 to 35 characters before the letters start crowding at the ends.

Three ways out of it, in order of preference: split the name across the top and bottom arcs; drop the entity suffix from the arc and put it in the centre; or increase the stamp to 45 mm and accept the larger footprint on the page.

Test it by looking at the preview at actual size rather than zoomed in. If you cannot read it on screen at 40 mm, nobody will read it on paper.

Colours that print and scan properly

Blue and black are the standard for a reason. Blue distinguishes a stamped original from a photocopy at a glance, which is exactly why many finance and admin teams insist on it. Black looks more formal and scans cleanly at low contrast settings.

Red works for action stamps — APPROVED, PAID, URGENT — where you want the mark to jump off the page. Avoid light colours and thin borders together; a pale grey stamp with a 1 pt border can vanish entirely on a scanned document.

Transparent PNG for placing over a PDF or document, so the stamp sits over the text rather than covering it with a white box.

Using business stamps responsibly

These templates are for your own company's marks and your own approval workflows.

Do not use them to reproduce a stamp belonging to another company, a government body, a court, a bank or a regulator, and do not create a mark that suggests a document was approved, certified or received by an organisation that did not handle it. That is document forgery in essentially every jurisdiction, whatever tool made the file.

Every template here ships with placeholder text for exactly that reason. If you spot one carrying your company's name, number or mark, tell us and we will take it down.
