Or start from a blank payslipA payslip shows how the net figure was reached
What was earned, what was taken off and what was actually paid. An employee should be able to check it without asking you, which is what the breakdown is for.
Monthly payroll
The same layout every month, with the pay period and payment date named precisely rather than left to be guessed.
Net pay that adds up
Earnings add, deductions subtract, and the net figure is what is left. You never type a minus sign or work it out yourself.
Contractors and casual pay
Deductions are their own section, so a slip that is earnings and nothing else carries no empty deductions table.
Your company on it
Logo, company name and address in the header, so the slip is recognisably yours and not a generic form.
Any currency
Name the currency once in the amount column heading and the figures beneath it stay clean.
Records you can keep
A PDF per employee per month is the least work when payroll records have to be produced years later.
Three steps, and nothing to install
- 01
Pick a template
It opens in the payslip generator with the earnings table already built. Everything on the page can be moved, restyled or deleted.
- 02
Enter the figures
Earnings first, then deductions if there are any. Net pay is calculated for you, so gross minus deductions always matches what is printed.
- 03
Download the PDF
A print-ready A4 page with no watermark, ready to send or file. The draft stays in your browser if you need to correct a figure.
Prefer to start from nothing?
Open a blank documentEvery template here opens straight into the payslip generator with the earnings table already built. You enter the figures, change the wording to yours, add your own logo, and download. There is nothing to install and no account to create.
Start from a template when you want a layout that already works. Start from a blank payslip when you have a specific design in mind.
Deductions subtract, so net pay is right
The earnings table is not a picture of a table. Earnings add up, deductions subtract, and net pay is what is left — you do not type a minus sign and you do not work the figure out yourself. Change a line later and the net pay follows.
This is the part worth getting from a tool rather than a word processor. A payslip whose net pay does not equal gross minus deductions is one an employee will query and a payroll audit will flag, and in a hand-built document it is a one-character mistake.
Deductions are their own section rather than a fixed part of the layout, because not every payslip has them. A contractor's slip that lists earnings and nothing else should not carry an empty deductions table.
What belongs on a payslip
Enough for the person paid to check that they were paid correctly. In practice: the employer's name, the employee's name, the pay period the slip covers, the payment date, what was earned and how it was made up, what was deducted and why, and the net figure actually paid.
Name the pay period precisely. "September" is ambiguous when someone is paid on the 25th for a month that runs to the 30th; "1–30 September" is not. The same applies to the payment date, which is the date money reaches the account, not the date the slip was made.
Deductions should say what they are. "Deduction — 550" tells the employee nothing; "Income tax", "Pension", "Advance repayment" tells them what to query and what not to.
Currency and figures
The amount column can name the currency in its heading — "Amount (USD)" — so the figures beneath it do not each need a symbol. It reads more cleanly and it prints more cleanly.
Add your logo and your colours
Upload a logo and place it where you want it — most templates leave a space in the header for one. The colour of a header band or a table heading is yours to change, so a payslip can carry your company's look without being redesigned from nothing.
Downloading and keeping records
The download is a print-ready A4 PDF with no watermark. Keep a copy: in most places an employer is required to retain payroll records for several years, and a PDF filed by month and employee is the least work later.
If the slip needs a signature or a company stamp, the signature maker and the stamp maker both produce transparent PNGs you can place before downloading.
