What this page is for (and what it isn't)
Most people searching "rectangular stamp maker" arrive thinking of one of two things:
- Identity/information rectangular stamps — return address blocks, signature lines, contact info, inspection marks, custom branded rectangular layouts.
- Workflow rectangular stamps — APPROVED, PAID, RECEIVED, COPY, DRAFT, and similar document-status marks.
These two needs are different, and they live on different pages on ToolBody. This page covers #1 — the identity and information rectangular stamps. For the workflow stamps in category #2, the Office & Approval Stamps page is the right destination, with dedicated templates for each common workflow mark plus an entire section on the PAID-stamp-on-invoice workflow.
Why the split? Because the design conventions are different. Office workflow stamps tend to be bold, single-word, high-contrast (often red) — designed to be seen instantly on a document. Identity/info stamps tend to be multi-line, lower contrast (usually black or blue), designed to convey information cleanly. Mixing both on the same page makes it harder for users to find what they actually need.

Return address stamps
Multi-line rectangular stamps containing a business or personal mailing address. Typical layout:
Line 1: Name or company Line 2: Street address Line 3: City, state/region, postal code Line 4 (optional): Country
Used to mark the return address on envelopes, packages, and outbound correspondence. Saves time compared to writing or printing the address on each piece of mail.
Signature line stamps
Long, thin rectangular stamps with a label and a horizontal line. Examples:
- "Signature: ____________________"
- "Authorised by: ____________________"
- "Date: ____ Signature: ____"
Used to mark a designated signature area on documents — particularly useful for printed forms where you want a consistent signature placement. Different from the Signature Maker (which generates an actual signature image to drop onto documents).
Inspection and quality control stamps
Rectangular stamps used in manufacturing, quality control, and equipment maintenance workflows. Typical layouts include fields for:
- "INSPECTED BY: ____ DATE: ____"
- "PASSED QC ____ DATE: ____"
- "SERVICED: ____ NEXT DUE: ____"
- "CHECKED BY ____ ON ____"
Used to mark physical equipment, paper inspection records, and maintenance logs. Often paired with a date stamp for the actual date.
Contact info stamps
Multi-line rectangular stamps with name, phone, email, and website. Used on outgoing documents, business cards in a pinch, marketing materials. Smaller and tighter than a full return address stamp.
Property/asset tagging stamps
Used to mark equipment, books, and assets with ownership identification:
- "PROPERTY OF [COMPANY] — DO NOT REMOVE"
- "ASSET: ____ LOCATION: ____"
- Library books (though school libraries should use the School Stamps page's dedicated layouts)
Bank endorsement stamps
Rectangular stamps used to endorse cheques for deposit:
- "FOR DEPOSIT ONLY — ACCT: ____"
- "PAY TO THE ORDER OF: ____"
Note: bank endorsement stamps must include specific information per your bank's requirements; check with your bank for required fields before producing a physical stamp.
Custom rectangular brand stamps
Logo-led or text-led rectangular stamps that don't fit the standard categories above. Brand identity marks, product stamps, certification rectangles, decorative rectangular layouts.
Standard rectangular stamp sizes
Different uses have different conventional sizes:
| Use case | Typical width × height | Notes | |---|---|---| | Return address stamp | 50–65 mm × 18–25 mm | Multi-line; size depends on address length | | Signature line stamp | 60–80 mm × 8–15 mm | Long and thin | | Inspection stamp | 30–50 mm × 25–40 mm | Near-square with multiple fields | | Contact info stamp | 45–55 mm × 20–30 mm | Compact multi-line | | Property/asset tag | 35–50 mm × 15–25 mm | Short text, single or double line | | Bank endorsement | 60–80 mm × 25–40 mm | Per bank specifications | | Custom brand stamp | Varies widely | Depends on design |
For physical rubber stamp production, specify both width and height in millimetres along with your SVG file. Self-inking rectangular stamps are the standard for daily-use rectangular stamps because the ink pad is built into the case.
How to design a rectangular stamp
Step 1 — Pick a template
Click any template above. The editor opens with the rectangular shape, layout, and placeholder text pre-loaded.
Step 2 — Customise
Replace placeholder text with your real text — actual address, real contact info, your name, your inspection fields. Adjust the line breaks, font, font size, and border style.
For multi-line stamps, keep the longest line under the stamp width and break naturally between logical segments (e.g., line 1: name, line 2: street, line 3: city/postcode).
Step 3 — Download
- PNG transparent background — for digital documents
- SVG vector — for physical rubber stamp production
- PDF — for direct PDF insertion
No watermark, no daily limit, no sign-up.
What this page deliberately doesn't cover
A short, honest note for clarity:
- APPROVED, PAID, RECEIVED, COPY, DRAFT, URGENT, CONFIDENTIAL, ORIGINAL, VOID — these workflow-status marks live on the Office & Approval Stamps page. Even though they're technically rectangular, they're conceptually about document status, not identity/info.
- Notary stamps — notary seals are state-issued regulated items, and the design isn't yours to create freely. Don't use ToolBody for notary stamps.
- Government, court, or official agency stamps — same as notary. Don't try to recreate official government marks on ToolBody.
- Cheque payee stamps that look like signatures of specific named people — making a "signature" stamp that imitates a real individual's handwritten signature without their consent crosses into forgery territory. Use the Signature Maker for your own signature, but don't recreate someone else's.
The discipline isn't just about following ToolBody's terms — it's about not exposing you to legal trouble downstream. If a stamp could be used to defraud or deceive, ToolBody isn't the right tool.

Template FAQs
Yes. Every rectangular stamp template is free to use, customise, and download. No premium tier, no daily limit, no watermark.
Office workflow stamps (APPROVED, PAID, RECEIVED, COPY, DRAFT) mark the status of a document — they belong on the **[Office Stamps](/templates/stamp/office)** page. The rectangular stamps here are about identity and information — return addresses, signature lines, inspection marks, contact details, custom rectangular branding. Both shapes are rectangular; the purpose is different.
A return address stamp is a multi-line rectangular stamp containing your business or personal mailing address. Used to mark the return address on envelopes, packages, and correspondence — much faster than writing or printing the address each time. Common in offices that send physical mail regularly.
Rectangular stamp sizes vary widely by use. Return address stamps are typically 50–65 mm wide × 18–25 mm tall. Signature line stamps are around 60–80 mm wide × 8–15 mm tall (long and thin). Inspection stamps are usually 30–50 mm square or near-square. Specify width and height in millimetres when ordering a physical version.
Yes. Download as SVG and send to a rubber-stamp manufacturer with your dimensions in millimetres. The vector file scales without losing quality. Self-inking rectangular stamps are widely available from suppliers like Trodat, Colop, and Shiny.
No. Every download is completely clean — no ToolBody branding, no preview overlay. The file is your stamp only.
