Before anything else — what this page is and isn't

This page is for administrative stamps in a medical office context. Examples of what fits:

  • A clinic receptionist stamping incoming patient records with the date received
  • An office manager stamping archived patient files with the date filed
  • A veterinary clinic stamping return addresses on prescription pickup notifications
  • A dental practice stamping equipment maintenance logs with the last sterilisation date
  • A medical office address stamp for outgoing correspondence

What does NOT fit here, and is explicitly excluded:

  • Doctor signature stamps — physician signature stamps are regulated, and creating unauthorised versions can constitute forgery. ToolBody won't provide these regardless of how the request is framed.
  • Prescription pad stamps — prescriptions are controlled documents in essentially every jurisdiction. We don't provide stamp templates that resemble prescription pads.
  • Medical license seals — state and national medical board seals are protected.
  • DEA registration stamps (US) — DEA-related stamps are federal-regulated and forging them is a federal crime.
  • "Diagnosed", "Approved by [Dr.]", "Treatment Authorized" — any stamp that claims a clinical decision was made by a specific authority.
  • Health insurance claim approval stamps that imitate insurer authorisation.
  • Notary-style medical stamps — notary roles are state-regulated separately.

Patient record receipt stamps

Used at the front desk or in records departments to mark when a patient document was received. Typical layout: "RECEIVED ON" with a date field. These are the same as standard office RECEIVED stamps (see the Office Stamps page) but framed for medical office workflows.

Patient file archive stamps

Used when paper patient files are moved into long-term storage. Typical layout: "ARCHIVED" with a date and file reference field. Tracks when records went into the archive — useful for compliance and retention scheduling.

Clinic return address stamps

Multi-line rectangular stamps with the clinic's name and mailing address. Used on outgoing correspondence, appointment reminder cards, and lab specimen packaging. Same conventions as the address stamps on the Rectangular Stamps page, with templates pre-formatted for typical clinic layouts.

Equipment maintenance date stamps

Used to mark when equipment was last serviced, calibrated, or sterilised. Typical layout: "SERVICED ON ____ NEXT DUE ____". For tracking equipment service history — not for certifying clinical sterility.

Veterinary clinic admin stamps

Reception, records, and appointment-administration stamps formatted for veterinary clinics. Includes patient (pet) record receipts, return address stamps for clinic correspondence, and vaccination schedule reminders. Veterinary regulations vary by jurisdiction; this page provides administrative templates only.

Appointment confirmation stamps

For marking confirmed appointments on paper appointment cards and intake forms. "CONFIRMED" with date, or "RESCHEDULED" with date — administrative status marks, not clinical decisions.

What's common across all of these: every stamp is administrative, marking when something happened or where something came from. No stamp claims clinical authority, identifies a specific medical professional, or authenticates medical decisions.

For physical rubber stamp production, specify both dimensions in millimetres along with your SVG file. Self-inking rectangular stamps are standard for high-volume office use because the ink pad is built into the case.
